Administration Meeting Minutes – 12/1/2011

Present: Deb Sandler, Scott Stacey, Guy Gledhill, Ellie Chatto, Rod Redstone and Cyndi Alden, Business Manager. Excused: Jim Otis. Sue Ross also attended to present a proposal from the Growth Committee.

Call to Order: Scott called the meeting to order at 7:05 p.m. Rod agreed to record this meeting and chair the January meeting.

Minutes of Administrative Team Meeting November 3rd 2011: reviewed and accepted as submitted.

OLD BUSINESS:
Financial Statements and Budget: The financial statements, including the balance sheet report, as of November 30, 2011, were reviewed and accepted. Generally speaking all areas are in line and no specific concerns were cited.

Tenant Updates:
1. 509 Sawyer: The tenant has indicated that she will be out by 12/15. The committee has decided to not proceed further with the eviction unless tenant does not leave. We will send the tenant a reminder about the rent still owed. There is no tenant waiting to move in and work will need to be done to update the kitchen and possibly the bath.
2. 331 Cottage, 1st Floor: Renewal of lease is up in March. The tenant is not experiencing the success that she anticipated for the gallery.
3. 331 Cottage, 2nd Floor: The tenant continues to pay the rent in a timely fashion.

Insurance Renewals: This was tabled until the next meeting.

Church Cleaning: It has been reported that the bathrooms are cleaner now. Will follow up with Prudy Wiggins and Sue Ellen Roberts after a couple more months have passed.

Growth Group Request: Sue Ross from the growth committee joined the meeting to demonstrate and display the plastic holder and leaflet that they would like to post in the exits to the church. The intent is to capture an audience who are in the building but do not attend services. We examined the materials and viewed where these would be placed in the hall. The committee voted unanimously to allow the containers to be mounted in those locations.

Council decided not to pursue purchase of 521 Sawyer St.

Administration Team Vacancies: Deb & Jim terms expire this June. Need to recruit new volunteers.

Committee Reports:
1. Counting: Jim to ask Peggy to ask John Thatcher to consider taking on the chairmanship of Counting.
2. House Committee: Church Cleaning noted above. 2 Bids received on work on Guptill Hall. Accepted Haskill/Hall bid. Contract signed for spring work. 3 Birch trees to be cut down at 331 Cottage. Roots are damaging foundations.
3. Planned Giving Report: No report was given.

NEW BUSINESS:
Cyndi will check with Larson on intent with lease renewal.
